Frequently Asked Questions

Please  contact us  if you cannot find an answer to your question.

A True Copy Apostille is used for certain documents when an apostille is needed for a copy rather than the original document. A high-quality copy of your document is prepared and accompanied by a Document Custodian Certificate, in which the document custodian declares that the attached copy is a true, correct, and complete reproduction of the document presented. The required signature is notarized, and the document is then submitted for apostille processing.

This process does not authenticate the contents of the underlying document. Acceptance ultimately depends on the requirements of the receiving authority.

Some documents must be submitted in their original or certified form for apostille processing. These commonly include birth certificates, marriage certificates, death certificates, divorce decrees, court records, and documents certified by a Secretary of State or other public official.

These documents must be mailed or delivered to us for processing. If you need an Illinois vital record or certain Illinois certified documents obtained first, we may also be able to obtain them for you.

Some documents require notarization before they can receive an apostille. We offer virtual and in-person notary services when needed, so you do not necessarily need to arrange notarization separately.

Send us your document first and we will determine whether notarization or any additional preparation is required. If a virtual or in-person notary appointment is necessary, we will arrange it with you.

While our primary focus is Illinois and Indiana documents, we also provide apostille services for documents from all 50 states.

Yes. Additional qualifying documents are $75 each when they are submitted and processed together with the first document.

Yes. We can obtain certain Illinois vital records on your behalf. You will need to meet with our notary virtually or in person to sign the required authorization. Contact us with the type of record you need and we will let you know what is required.

Original or certified documents that must be submitted for apostille processing—such as birth certificates, death certificates, marriage certificates, divorce decrees, and certain court records—must be mailed or delivered to us.

Before mailing your document, you may upload a photo or scan through our website so we can review it and confirm the appropriate processing. We will then provide you with our shipping address and instructions.

What is an Apostille?

An apostille is a streamlined form of document authentication used for documents being presented in countries that participate in the Hague Apostille Convention. It authenticates the signature, seal, or certification associated with the document for international use.

 What is Legalization?

To authenticate a foreign public document for use in a country that is not a member of the Hague Convention.

In contrast, legalization is a more complex, multi-step process involving a government agency and the destination country's embassy or consulate, and is required for countries not part of the Hague Convention.

Both processes authenticate the applicable signature, seal, or certification associated with a document but do not verify the document's content.

We offer both services

We assist businesses with obtaining and apostilling corporate and company documents for international use.

Common documents include Certificates of Good Standing, Articles of Incorporation or Organization, Certificates of Formation, certified corporate records, amendments, merger documents, and Delaware corporate documents.

If you do not already have the required certified document, we may be able to obtain it on your behalf and coordinate the apostille process from start to finish.

Company-issued documents may require notarization or additional preparation before they can receive an apostille. We will review the document and determine what is required.

Yes. We can assist with apostille processing for documents from all 50 states.

Documents such as birth certificates, marriage certificates, divorce decrees, court records, corporate documents, and other state-issued or certified records generally must receive an apostille from the appropriate state based on where the document or official signature originated.

You do not need to figure out which office handles your document. Send us the document information and we will determine the appropriate apostille process and coordinate it for you.

Processing times and government fees vary by state. We will let you know if any additional fees or requirements apply before processing your order.

We assist with documents for countries worldwide.

If your destination country is a member of the Hague Apostille Convention, your document will generally require an apostille.

If your destination country is not a member of the Hague Apostille Convention, your document may require authentication and legalization, which can include additional government authentication and legalization through the appropriate embassy or consulate.

Not sure which process you need? Simply tell us the country where your document will be used and the type of document you have. We will determine the appropriate process for you.

Requirements, processing times, and fees vary depending on the document and destination country. We will advise you of any additional requirements or fees before processing your order.
